What a venue is actually juggling
- Daily food safety records — since December 2023, Standard 3.2.2A effectively requires them: temp checks on receipt and storage, cooling and reheating logs, cleaning and sanitising records. Most venues still run this on a paper diary by the coolroom.
- Food Safety Supervisor — certified, kept current, and the certificate expires every 5 years. Quick: what date does yours lapse?
- Liquor licence conditions — trading hours, patron limits, and if you regularly trade past midnight, a mandatory incident register with every ejection, injury and intervention recorded.
- RSA cards, per staff member, valid while on shift — one lapsed card on a rostered bartender is a breach.
- The Annual Fire Safety Statement — lodged with council and Fire & Rescue NSW every year. Miss it and the fines start around $1,000 the first week and escalate weekly.
- The hospitality award — junior rates, penalties, split shifts. Rates change every 1 July, and hospitality is the Fair Work Ombudsman's perennial enforcement focus.
- Workers comp, incident registers, notifiable injuries — burns, cuts, slips: kitchens generate them, and serious ones must be reported immediately with the site preserved.
- The quiet ones — outdoor dining permit renewals, grease trap agreements, pest control records, music licensing, your DA's trading-hour conditions… and your lease.
The dates that end businesses
A missed lease option window means no right to renew — fit-out, location and goodwill gone. If your lease has an option, the law doesn't require anyone to remind you. Your landlord certainly won't.
A missed fire safety statement racks up escalating weekly fines automatically. A lapsed FSS certificate puts you in breach the day it expires. One venue, dozens of dates, no system — that's the actual problem.
